Scanned PDFs and OCR: how to get editable text from a scan
If a PDF came from a scanner or a phone camera, it may contain no text at all — just a photo of each page. Converters that extract text will come back empty. To get words you can edit or search, you need optical character recognition (OCR). Here's how to spot a scanned PDF and the free ways to run OCR on it.
Is your PDF scanned? Three quick checks
- Try to select text. Drag across a sentence. If you can highlight individual words, the PDF has a text layer. If you can only select the whole page as a box (or nothing), it's an image.
- Search for a word you can see on the page with Ctrl+F (Cmd+F on a Mac). No results means no text layer.
- Zoom in a lot. Real text stays sharp at any zoom; scanned text becomes blurry or pixelated.

Some PDFs are a mix: scanned pages with a hidden text layer already added by the scanner's software. Those are searchable and can be converted normally, although the accuracy of that hidden text varies.
What OCR does
Optical character recognition analyzes an image, finds the shapes of letters and converts them into real text. Modern OCR is very accurate on clean, printed documents and much less so on handwriting, low-resolution photos, unusual fonts or pages with stamps and background patterns. Always proofread the result — especially numbers, names and amounts.
Free OCR options
Google Drive and Google Docs
Upload the PDF or image to Google Drive, right-click it and choose Open with → Google Docs. Google runs OCR and puts the recognized text into a new document, with the original image above it. It's fast and works well on simple, clean pages. The file is stored in your Google account.
On a Mac, iPhone or iPad: Live Text
Recent versions of macOS and iOS recognize text inside images automatically. Open a scanned page in Preview or Photos (or point the iPhone camera at a document) and you can select and copy the text directly. It works on your device and is great for grabbing a paragraph or an address, though not ideal for long documents.
On Windows: PowerToys Text Extractor
Microsoft's free PowerToys utilities include a Text Extractor: press its keyboard shortcut, draw a box around any text on screen — including an open scanned PDF — and it's copied to your clipboard. Like Live Text, it's best for short passages.
For whole documents: OCRmyPDF
The open-source tool OCRmyPDF adds a hidden, searchable text layer to an entire scanned PDF while keeping the pages looking exactly the same. It's command-line software, so it suits people comfortable installing tools, but it's excellent for archives of scanned paperwork. Once the text layer is added, the PDF can be searched and converted like any other.
Paid tools
Adobe Acrobat and other commercial PDF editors include OCR that also tries to preserve layout. They make sense if you process scans regularly.

Getting better OCR results
- Scan at 300 dpi for normal text. Lower resolutions lose detail; much higher ones make files huge without improving accuracy much.
- Use black-and-white or grayscale for plain text documents; it improves contrast and reduces file size.
- Keep pages straight and flat. Tilted or curved pages (for example, photographed books) cause errors near the edges.
- Avoid shadows and glare when photographing documents with a phone; use a scanning app that crops and flattens the page.
- Check the language setting if your tool has one, so accented characters are recognized correctly.
